What is a First Session Like?

Your first session is a laid-back meet and greet.

The vibe is informal and conversational, like talking with a close friend over coffee.

Together, you and your counselor will explore your goals, what brought you here, and the skills you’re looking to build.

We understand the first session can be anxiety-provoking. It’s not easy sharing your thoughts and feelings with a stranger, but take it one step at a time and pave yourself.

Building a strong, trusting relationship with your counselor takes time. Finding the right “vibe” with your counselor is key to feeling supported. It’s important to find the right connection to feel fully supported.

Counselors are here to support, not judge. We create a non-judgmental space where you can feel safe to explore your thoughts. Trust develops over time, and we respect the vulnerability that comes with sharing.

During the first few sessions, your counselor will ask questions to better understand you. These questions are only relevant to your situation, and we respect your boundaries. You can always decline to answer if you’re not ready to share.

Counselors respect the trust you place in us. The therapeutic relationship is built on the information you provide, and we work together through this process.

Counselors offer objective, evidence-based recommendations and approach your concerns with compassion and respect.

In the first 2-3 sessions, we’ll focus on gathering information, identifying strengths, and creating a collaborative plan. Counseling is like peeling away layers of an onion, working through experiences over time.​

What are Ongoing Sessions Like?

All sessions at WS are held via telehealth.

Sessions begin at the top of the hour and last 45 minutes. At the time of your appointment, your therapist will send you an email. Simply open the email and click the link to start your session.

Counseling can sometimes feel invigorating and other times it can feel emotionally draining, as it involves discussing personal and difficult experiences. However, many clients find that it brings relief, helps them feel heard, and can even be enjoyable once they build a relationship with their therapist.

Some sessions are focused on serious, heavy topics, while others can be lighthearted, filled with humor, discovery, and insight. Many clients begin to enjoy each session and feel relief, positive, validated, and understood.

You control the pace and decide what topics and symptoms to explore.

Most clients start with weekly sessions and, as they make progress and gain new coping skills, move to every other week.

If you scheduled a standing/ recurring appointment then the appointment times is reserved for you on a weekly basis until you decide to make changes.
​​

If you have a scheduling conflict you can always let us know and request to reschedule or cancel an appointment.
​​

If you have an irregular schedule and cannot commit to standing/ recurring appointments then you can always schedule using our admin who is happy to assist you.
​

We also have online scheduling available for single appointments. Online scheduling is only available to current clients who have had an appointment in the past 90 days. New client appointments cannot be scheduled via online scheduling.

What are Telehealth Sessions Like?

Your counselor will send an email at the start time of your appointment.

Open the email and click on the meeting link located in the body of the message.

A new tab will open in your browser and your meeting will begin.

Our secure and encrypted HIPAA compliant system is compatible with all computers, tablets, and devices.

There are no apps to download and no profiles to create. We make telehealth easy and accessible.

Telehealth meeting links are NOT re-used. Your therapist will send a new link for each session via email.
​​

Telehealth meeting links are sent at the start time of the appointment. We ask that everyone provide a 1-5 minute buffer as some email links will go through instantly and others may take a moment.
​​

If a client has not logged into an appointment after 5 minutes we will send an outreach via text or we will send another link to ensure that it was able to go through.
​​

If a client has not logged into an appointment after 10 minutes then the appointment will need to be rescheduled to ensure you receive the full time of your appointment.
​​

We STRONGLY recommend that clients engaging in EMDR therapy use a LARGE size computer screen. It is especially important that EMDR appointments are in a private environment and take place where a client may have some time to decompress and process after the session.

If you lose your privacy, your schedule changes, or if you are having tech issues then you can always reschedule your appointment without any fuss or charges.
​​

If you would like to test your tech to ensure that you will not have any problems for your first appointment then please let us know and your admin staff will be happy to schedule a tech test to ensure you feel confident about your first appointment.
What if I Need to Reschedule or Cancel an Appointment?
What is the Wellness Solutions' "3 Freebie Flake Out Policy"?

We understand that real life happens to real people. Sometimes we lose control over our day, our schedule, and our environment. If you lose your privacy, an unexpected meeting arises at work, a child is home from school, or other unforeseen event occurs then let us know (call, text, or email) and we will be quick to provide you with new options to reschedule your appointment at a time you can feel comfortable and focused on your session without any worry or concern about privacy. We are here to help and that means making sure your care is safe, secure, private, and convenient.

Healthy relationships have mutual respect and understanding. We provide a compassionate and flexible attendance policy that we lovingly refer to as our "3 Freebie Flake Out" policy. Our counseling, coaching, and psychotherapy clients receive three appointments to cancel without notice, forget, or no show. (This is called a broken appointment.) We do not charge for the first three missed appointments or broken appointments for clients receiving counseling, coaching, and psychotherapy. If you miss your appointment or if something comes up then you do not have to worry. We have a guilt free forgiveness policy to help you stay focused on your care while maintaining your busy life. Wellness Solutions provides standing/recurring appointments to clients to make the care journey easy and convenient. We believe the structure of recurring appointments makes it easier for clients to maintain sessions in a consistent, meaningful, and beneficial way. This ensures clients can attend sessions and develop the skills needed to reduce symptoms, resolve problems, and achieve goals.

While the duration of time one is actively in counseling, coaching, and psychotherapy is different for every person due to the unique concerns they bring to session we can provide some generalizations to help with developing reasonable expectations for change.
​

In counseling, coaching, and psychotherapy most clients are scheduled for weekly sessions in the beginning of care. Once clients begin to develop new insights and skills, and achieve symptom reduction, then clients will often reduce the frequency of appointments from weekly appointments to every other week standing or recurring appointments. This functions as a maintenance like schedule for clients while they continue to develop new skills, practice these skills outside of session, and begin to achieve care objectives and goals. This also helps reduce the cost of care by continuing with their treatment plan while reducing the frequency of appointments. ​

On average most clients will spend approximately 10-15 sessions attending once per week for regular outpatient counseling, coaching, and psychotherapy. This average depends on many factors including the type of presenting concerns a client is facing, as well as the severity of distress an individual is experiencing.

On average, and every client is different, most clients spend approximately 12-15 sessions attending every other week for regular outpatient counseling, coaching, and psychotherapy. Though this depends on each individual and many clients will drop out of care for a multitude of reasons we find that these numbers are representative of clients who receive maximum benefit from care and achieve their treatment plan objectives and goals.

Many clients begin to enjoy and look forward to the validation, support, resources, feedback, and personal growth and development from counseling, coaching, and psychotherapy. They often decide to continue care and develop new objectives and goals to continue their care journey.

Clients who drop down from every other week sessions may opt to maintain monthly or PRN (as needed) sessions to ensure they continue their positive progress. At Wellness Solutions, we refer to these as "tune-up" sessions. We do not provide standing or recurring appointments for these clients and they are scheduled as drop in appointments. The number of sessions and duration that most clients spend with monthly or PRN appointments varies significantly.

On average, clients generally have approximately 5-10 sessions in the "tune-up" stage of care although many may opt to discharge and readmit whenever they feel they need a tune up appointment.

For EMDR therapy sessions the frequency and duration of appointments is totally unique to the individual and will be determined by the client and therapist. It is challenging to provide an average number of sessions or length of stay in care with EMDR due to the range and severity of symptoms clients may be experiencing. Question: When will my therapist send the email with my appointment link?

Answer: Your therapist will send a new email with a new appointment link each session. For privacy and security reasons we do not re-use the same appointment link.

Question: How long are appointments? When do appointments begin?

Answer: All Wellness Solutions counseling, coaching, and psychotherapy appointments start at the top of an hour and are 45 minutes in duration. Wellness Solutions EMDR appointments begin at the top of the hour and the duration depends on the client's treatment plan.

Answer: Wellness Solutions provides telehealth counseling, coaching, psychotherapy, and EMDR appointments only.
Scheduling
Wellness Solutions believes in providing quality care. We dedicate time to you for your care journey based on your schedule preferences. This helps provide consistency for your appointments without the hassle of scheduling an appointment every week. Our new client admissions are limited to provide current clients with exclusive access to care. We reserve time based on your schedule preferences to offer you custom care personalized to your needs.
Appointment Options
Weekly Standing Appointment
Appointments are scheduled at the same time on the same day as a recurring appointment. You can change your weekly standing appointment at any time. Most new clients begin with a weekly standing appointment and "drop down" to every other week (EOW) standing appointments as they develop new coping skills and begin experiencing a reduction in their symptoms.
Every Other Week Standing Appointment
Appointments are scheduled at the same time on the same day every other week (EOW). You can change your EOW standing appointment at any time. Most clients schedule EOW appointments while continuing to develop new skills while decreasing their symptoms as a form of continued self-care maintenance.
Monthly Appointment
Monthly appointments are not scheduled as a standing appointment. They are scheduled based on the client's availability and preferences on a monthly basis. We will outreach to monthly clients periodically to provide gentle reminders to schedule their appointments. Clients with monthly appointments should also outreach to Wellness Solutions admin staff to schedule their appointment to ensure they get booked.
Bounce Appointment
Bounce appointments are not scheduled as a standing appointment. Bounce appointments are for clients who have school or work schedules that do not permit the consistency of a standing appointment and bounce around the schedule based on their individual needs. We will outreach to clients with bounce appointments periodically to provide gentle reminders to schedule their appointments. Clients with bounce appointments should also outreach to Wellness Solutions admin staff to schedule their appointment to ensure they get booked.
Tune Up Appointment
Clients who would like to schedule a "tune up" appointment can outreach to Wellness Solutions admin staff to schedule their appointment. Many clients discharge from care and have situations that challenge them that only need a brief refresh of skills to assist them. We will outreach to clients periodically to provide a gentle check-in to see how they are doing. We emphasize "normalizing" tune up appointments as a way to maintain self-care and keep their coping skills sharp. We believe that once someone is a client then they are always a client. We remain part of your team throughout your journey. All clients are welcome to return to care as they encounter new challenges and life transitions.
